Getting Started

Create Your Organisation

Sign up and create your club or academy. Set your sport, timezone, and currency.

Add Members & Teams

Invite coaches, players, and parents. Organise them into teams by age group or skill level.

Set Up Classes & Payments

Create your timetable, connect Stripe for payments, and start taking bookings.

Account & Organisation

After registering, you'll be guided through the onboarding wizard. Enter your club name, select your sport(s), set your timezone and currency, and you're ready to go.

Go to Members from the sidebar, then click "Invite Member". Enter their email address and select a role (Admin, Staff, Coach, Player, Parent, or Member). They'll receive an email invitation to join.

PULSE has 6 roles: Admin (full control), Staff (manage operations), Coach (manage teams and training), Player (view own data), Parent (view children's data and make payments), and Member (basic access).

Click your profile icon in the top-right corner and use the organisation switcher to move between clubs you belong to.

Attendance & Safeguarding

Go to Attendance to view your registers. Each event or class automatically creates an attendance register. Mark members as Present, Late, Absent, or Excused.

Navigate to Safeguarding to manage DBS checks for staff and coaches. Add DBS certificate details and expiry dates. The system automatically sends reminders 90 days before expiry.

Go to Safeguarding and click "Log Incident". Record the details, severity, witnesses, and actions taken. All incident records are securely stored and access-controlled.

Bookings & Classes

Navigate to Bookings from the sidebar. Click "Create Class" to set up a new class with name, schedule, capacity, price, and venue. You can group classes into terms for easy management.

When a class reaches full capacity, new bookings are automatically added to the waiting list. When a spot opens up (cancellation), the next person on the waitlist is automatically promoted and notified.

Yes! Parents can book via the Parent Portal or the public booking page. They can select which child to enrol, choose sessions, and pay online.

When booking a member, select the "Trial" option. Trial bookings are free and don't count toward capacity limits. Convert them to full bookings after the trial.

Communication

Use the Communication page to post on the Wall (visible to all members), send direct messages via Chat, send SMS broadcasts, or create email broadcasts to specific groups.

Create a poll from the Communication > Wall Posts tab. Add your question and options. Polls can be anonymous and have an optional closing date. Members can vote once per poll.

Yes! Go to Communication > SMS to send text messages. SMS uses credits which are tracked per organisation. You can send to all members, specific teams, or roles.

Matches & Performance

Go to Matches and click "Create Match". Select your team, opponent, competition, venue, and date. On match day, use the Match Centre for live scoring.

Open a match and click "Start Match". Record goals, cards, substitutions, and notes in real-time. The score updates automatically. End the match when the game is complete.

Yes! Go to Development to create development plans for players. Set goals, track progress with assessments, and provide coaching recommendations over time.

Payments & Finance

Go to Settings > Integrations and click "Connect Stripe". You'll be redirected to Stripe to create or connect your account. Once connected, you can accept online payments immediately.

Navigate to Finance > Invoices and click "Create Invoice". Add line items, set a due date, and send it to the member. They'll receive an email with a secure payment link.

When a booking is cancelled, a refund is automatically processed if a Stripe payment was made. For manual payments, the refund is flagged for admin processing. View all refunds under Finance > Refunds.

Yes! Go to Finance > Accounting to export your data in CSV, Xero, or QuickBooks format. Filter by date range and download for your accountant.

Settings & Configuration

Go to Settings > Billing & Subscription (or Finance > Subscriptions). Select a new plan and follow the checkout process. Changes take effect immediately with prorated billing.

Navigate to Registration Forms and click "Create Form". Choose a form type, add fields (contact, medical, consent, custom), and publish. Share the public link with prospective members.

Go to Settings > Integrations to browse available integrations. Connect your Stripe account for payments, set up webhooks for external systems, or generate API keys for custom integrations.
